Community Affairs Manager

DUTIES AND RESPONSIBILITIES:

The Community Affairs Manager is responsible for chartering and re-chartering Friends Chapters, as well as planning, organizing and coordinating programs with the Friends of the Queens Library groups, community boards, agencies, groups and individuals, including city agencies and their offices connected with the Library. Plans, develops and implements programs to promote positive community awareness and supports the image of the organization within the community. Works on organization-wide events to help strengthen the relationship with the organization and the community.

  • Creates, promotes, organizes and coordinates activities of Queens Library Friends Groups.
  • Responsible for organizing new Friends chapters, strengthening existing chapters and reviving dormant ones.
  • Meets with Friends groups and officers regularly to maintain a strong connection between chapters and Queens Library.
  • Serves as editor for the Friends Monthly newsletter.
  • Submits monthly financial reports to the Friends Boards and processes Friends’ financial paperwork.
  • Represents the organization at community based civic organizations throughout Queens.
  • Manages outreach activities of the Library, including street fairs and information tables at community events.
  • Works closely with the Government and Community Affairs (GCA) team and the Director of Volunteer Services to increase Library presence in the community.
  • Cultivates new connections and maintains contact with representatives of other organizations to exchange and update information on resources and services available, as requested.
  • Supports the GCA team with managing elected officials’ requests and library visits.
  • Prepares and updates materials for regular and special presentations to elected officials and city government bodies, such as period district updates, budget briefing, testimonies, etc.
  • Liaises with the Capital and Facilities department regarding ongoing projects in elected officials’ districts.
  • Plans and supports special library events, such as groundbreakings and grand openings, ribbon cuttings, photo and press events, special programs and fundraising events.
  • Duties include securing venues and dates from necessary parties working with contracts, ordering materials and supplies, creating invitations, keeping responses, ordering audio and visual equipment, speechwriting, creating program order and ordering promotion as appropriate.
  • Performs other duties as required.

Occasional travel, and some evening and weekend hours required.

MINIMUM QUALIFICATIONS:

  • Bachelor's Degree required.
  • Two to three years of community affairs experience required.
  • Ability to represent the organization effectively in a variety of settings and with diverse communities.
  • Must have the ability to work with a diverse population.
  • Must be able to work independently.
  • Able to use a PC and standard business applications (i.e.: SAP, Outlook).
  • Excellent oral, written, and interpersonal communication skills and relationship building skills.
