Institutional Giving Associate

The Queens Library Foundation (QLF) is a 501(c)(3) and 509(a)(1) and 170(b)(1)(A)(vi) non-profit organization whose mission is to raise funds for the programs, services, and materials for Queens Library.

Reporting to the Director of Institutional Giving, the Institutional Giving Associate is part of a team of professionals dedicated to increasing support from Foundation, Corporate and Government Grants.  The Institutional Giving Associate plays a key role in managing the systems for tracking and monitoring all grants in the Foundation’s funding base. 


Grants Administration

  • Manages a portfolio of special legislative grants.
  • Coordinates grant proposals, report packets, submissions, letters, grant checks and check requests.
  • Tracks and compiles data related to funding streams and grant outcomes.
  • Maintains a database of grants information and prepares weekly grant reports.

Organizational Development

  • Coordinates site visits for the Institutional Giving Team.
  • Creates and maintains all Institutional Giving documents (i.e., administrative documents, charts, reports and the Institutional Giving Grants Calendar).
  • Creates and maintains all Institutional Giving charts and administrative documents.
  • Assists with general QLF office management tasks as needed.

Fiscal Management

  • Creates, routes and files all grant checks and check requests.
  • Tracks departmental expenses in budget monitoring system and assists Executive Director and Institutional Giving team with budget reconciliation.


  • Researches background information on potential donors and create donor prospecting sheets. Prepares all information on current, pending, and proposed grants for Queens Library Foundation Board meetings. 

Board Relations

  • Develops and maintains all grants documents required for Foundation Board meetings.
  • With the assistance of the Individual Giving Associate, coordinates all Foundation and Queens Library Board documents needed for grant submissions and public entity registrations.
  • Performs other duties as required.


  • Bachelor’s Degree in English, Journalism, Marketing or related field required.
  • Minimum of three years of related work experience required.
  • Exceptional writing, proofreading, and oral communication skills required. 
  • Individual must be highly organized, thorough, with an acute attention to detail and have the ability to multi-task and manage several projects at once, with strong follow-through and proven ability to set and meet deadlines.
  • Solid professional computer experience including work with: Word, Excel, PowerPoint, databases (specifically Raiser’s Edge or Salesforce) required.
  • Experience with internet tools (i.e. Google Docs) and various databases for use in researching foundations and corporations required.
  • Must be creative, flexible and innovative team player and have the ability to work independently and as a member of various teams and committees.
