Library Applications Specialist


Responsible for the day-to-day activities of the Library Applications including the Integrated Library System (ILS), routine and non-routine events, reports and maintenance.

  • Assists in the administration, development, testing & maintenance of the organization’s ILS.
  • Performs access control functions, such as creating and modifying new user groups and assigning permissions.
  • Prepares schedule and work plans for installation & upgrades.
  • Works with Information Technology Development (ITD) staff, ILS vendor & third parties to ensure reliable operation of the ILS and other library applications.
  • Initiates change control for all required work on ILS and other library applications.
  • Schedules changes and informs all stakeholders of upcoming changes.
  • Informs library staff of changes that impact their operations before they are implemented.
  • Trains selected IT staff to assist with system administration functions and provides ILS-related training to non-IT staff.
  • Works with ITD and Community Library Services (CLS) to ensure ILS upgrades and maintenance work is fully tested in a satisfactory manner using scripts and regression testing methods.
  • Provides support for third-party applications that interface with the ILS software.
  • Ensures the software is always properly functioning in production.
  • Serves as technical support contact for emergency issues, where customer service is impaired.
  • Troubleshoots technical issues or escalate problems and work with the appropriate technology teams to provide solutions.
  • Ensures internal technical problems are resolved in a reasonable timeframe.
  • Reports problems that require vendor support immediately and ensures a resolution is established.
  • Provides management reports for senior staff and outside organizations as needed and provides backup support for preparation of statistical reports.
  • Evaluates requests for custom programming and coordinate implementation with vendor and staff.
  • Responsible for program specifications including work plans.  Develops and monitors all timetables for all approved custom programming requests. 
  • Ensures third party systems are fully tested prior to rollout.
  • Performs other duties as assigned.


  • ALA accredited MLS/MLIS degree required and 2-5 years of experience in public library service in reference, cataloging, serials, or acquisitions required.
  • New York State Public Librarian’s Certificate required.
  • A working knowledge of one or more ILS products, Virtua preferred. 
  • Familiar with electronic resources, such as licensed databases (Ebsco, Gale, Wilson); Bibliographic Utilities such as OCLC; Internet Resources; e-Books; Library related standards and protocols such as Marc, Z39.50, XML and Metadata Schemes such as Dublin Core and EAD.
  • Active in professional associations such as ALA, PLA, or LITA preferred.
